How the time card calculator works

Monday 8:00 AM to 5:30 PM with a 30-minute lunch is 9 hours. Copy Monday to Tuesday–Friday for a 45-hour week, add $20 an hour, and the calculator shows 40 regular hours, 5 overtime hours and $950 gross pay.

Hours this week

Type times any way you like: 9, 930, 9:30 am, 5:15p or 17:15. Without am/pm, an end time like 5 after a start of 8 is read as 5 PM.

How to use the time card calculator

  1. Enter the start and end time for each day you worked. Leave days off empty.
  2. Enter the unpaid break in minutes (for example, 30 for a half-hour lunch).
  3. Optionally add the hourly rate, rounding and the overtime rule that applies to you.
  4. Print the time card, download it as CSV for payroll, or copy a link that keeps your entries.

Shifts that end after midnight are handled automatically: 10:00 PM to 6:30 AM counts as 8 hours 30 minutes.

Example

Monday to Friday, 8:00 AM to 5:30 PM with a 30-minute lunch is 9 hours a day, 45 hours a week. Under federal overtime rules that is 40 regular hours and 5 overtime hours. At $20 an hour: 40 × $20 + 5 × $30 = $950 gross pay.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the start time from the end time, then subtract unpaid breaks. For example, 8:45 AM to 5:15 PM is 8 hours 30 minutes; minus a 30-minute lunch gives 8:00 hours. Add the days together for the weekly total. The calculator does this for every day and handles overnight shifts automatically.

How do I convert minutes to decimal hours for payroll?

Divide the minutes by 60. 15 minutes = 0.25 hours, 30 minutes = 0.50, 45 minutes = 0.75. So 7 hours 45 minutes is 7.75 hours. Payroll systems multiply decimal hours by the hourly rate.

Is lunch break included in hours worked?

Under federal law (FLSA), meal breaks of 30 minutes or more where the employee is fully relieved of duty are usually unpaid, so they are subtracted. Short rest breaks of 5–20 minutes are paid work time and should not be subtracted. Some states have their own meal and rest break rules.

When does overtime start?

Federal law requires overtime at 1.5 times the regular rate for non-exempt employees after 40 hours in a workweek. A few states also have daily overtime: in California, hours over 8 in a day are paid at 1.5× and hours over 12 at 2×. Pick the rule in the calculator settings.

What is the 7-minute rule?

When an employer rounds punches to the nearest quarter hour, 1–7 minutes round down and 8–14 minutes round up. Clocking in at 8:07 counts as 8:00, at 8:08 as 8:15. Choose 15-minute rounding to apply it.
